ACTION ITEMS:

Administrative/REB/Contracts

CFIR

  • REB approval received from North Bay and Niagara

  • Waiting to hear back from Sudbury, Waterloo, and Durham

  • Contract – received feedback from SickKids, will respond by next week

Staffing Updates

  • Augustina has been offered role of Program Assistant at Slaight. Congratulations, Augustina! Augustina will continue her roles with EPI-SET and the ED to EPI study.

  • Abanti will be transitioning to another role at CAMH after October 2nd. We are very grateful for all of her hard work on EPI-SET!. Abanti is transitioning her roles to Andrea and Brannon.

    • Brannon is the main point of contact for ECHO, and Andrea is supporting as well

    • Andrea is the main point of contact for Patient Measures

    • Both are attending site meetings and involved in recruitment

COVID-19 Activity Tracker

  • CIHR has requested that we submit COVID-related project activities from June through September

  • We reviewed a draft of the activity tracker and gathered feedback below:

  • ECHO section

  • Add that there was an additional session in April about COVID and NAVIGATE delivery

  • Add that support/resources continue to be provided to sites for adaptation to virtual care

  • Add that case format was adapted to be more flexible

  • E-NAVIGATE section

  • Add language to convey that program manual has started to be adapted for virtual care, ongoing

  • Evaluation is initially concentrated at CAMH and lessons learned will be shared with sites


Patient Measures

  • Total Referrals received: 47 (Durham: 22; NB: 6; Niagara: 14; Waterloo: 3; Sudbury:2)

  • Baseline completed: 22 (Durham: 10; NB: 4, Niagara: 5; Waterloo: 2; Sudbury: 2)

  • 6-month F/U completed: 2

  • Upcoming participants: 2 participants have been completed this week (Sudbury and Waterloo)

  • Clinicians have updated us on several referrals we had difficulty contacting, we are reaching out again

  • Clinicians anticipate several more clients being asked about research this week

  • We continue to meet and discuss strategies for engaging referrals - calling for appointment reminders as been successful

  • We will also confirm participant contact information routinely


ECHO

  • 7th ECHO session took place last Friday (first session on new Friday schedule)

  • 27 spoke clinicians in attendance; 15 survey responses

  • Next session: Friday, October 2nd on the topic of Family Education (part 1)

  • Didactic presented by Vivian and Lillian

  • Case presented by Sudbury

  • Waterloo would like to present both didactic and case for the Peer Support ECHO session—we have asked for more information on their plan, as they are fairly new to NAVIGATE

  • We really appreciate their enthusiasm

  • We would want them to comment effectively on how Peer Support links to NAVIGATE

  • Dayna will follow-up with Al and the Waterloo Peer Support Worker regarding the content they would present on

  • Spokes have not previously presented the didactic at any other ECHOs; this doesn’t go against the model but would be a first

  • Perhaps Waterloo could present a few slides from the overall didactic to share their expertise, and Slaight Peer Support Worker, Sara, can help tie to NAVIGATE

  • IRT was discussed during Cycle 1; we are following-up with PSSP regarding site orientation to updated IRT materials, as this will inform the next IRT ECHO session

  • Today’s Implementation Call will be discussing the transition to the new materials with site leads


Advisory Committees

YAC

  • Next meeting is this Friday, September 25th

  • We will be discussing engagement opportunities/video

  • We have Dr. Kozloff coming in November and Andrea will obtain YAC interests/questions beforehand

FAC

  • Planning engagement opportunities for FAC members to attend October ECHO session, and site Family groups

  • At Waterloo site meeting this week, clinician mentioned they had a very engaged family member who may be interested in contributing. Brannon has sent FAC info along and encouraged the referral.

e-NAVIGATE

  • Catherine Ford is a collaborator on the grant and we are glad to have her on the team!

Funding:

  • CIHR - 1 year grant to focus the work mostly at CAMH implementation evaluation with potential for knowledge translation to other sites

  • University of Toronto - received funding for 2 years, this proposal included more of an emphasis on coordinated dissemination to other EPI-SET sites

  • This extends the work for 2nd year and formalizes the way that we intend to spread this work through the EPI-SET project

  • We’ve discussed the overlap of funding with UofT and they committed to funding the 2nd year

  • We will send them our budget from CIHR to see if they will potentially add some funding for the first year of the work, and may propose they support the Coordinator role in the first year

Feedback/Questions

  • We should present this project to sites at Project Team so they know this is coming down the pipeline

  • Especially as sites will get to know Melanie more during the CFIR work

  • It will help sites understand the timeline and when things will get done by

What will the implementation supports look like for the other sites?

  • Emphasis is on CAMH as the testing/full implementation and evaluation site

  • While Alexia is on the grant, we did not budget for involvement of implementation specialists

  • The work for supporting other programs would primarily occur in year 2, informed by what is found in the core evaluation during year 1.

Since NAVIGATE was being delivered pre-COVID at CAMH as a clinical service, is this virtual program already launched?

  • Yes, but while CAMH released virtual mental health supports on multiple aspects of virtual delivery, it is not coordinated in a systematic way that checks how clinicians have boosted their training to delivery high quality virtual care.

  • It would help to coordinate with Dr. Crawford and her team who put out the material, to understand what is currently available/still being planned, and how we can leverage that at Slaight (i.e. identifying a champion in each role, or having every clinician complete it). This would then be coordinated with Sarah, who is a knowledge user on the grant.

  • Given that it is already being delivered, this is an opportunity to look at the practice profile for NAVIGATE and compare/contrast/describe what did and did not change (other than modality). Since this is a 1 year timeline, would need to quickly decide who would be involved.

  • Prioritizing REB submission for October 1st

  • Hiring for the team

  • Providing ministry with budget and knowledge translation plan
