  • Received preliminary approval from Durham-Lakeridge REB after full board review

Governance Structure

  • Governance Structure terminology → Operational committee was selected over Working Groups

  • Each operational committee can provide their own mandate. We have provided roles and functions as a starting point. Each committee will be able to build on these suggestions.

  • Each operational committee will liaise through the Steering Committee, which provides an overarching framework and ensures a flow of communication between project committees.

  • One representative from the Steering Committee and a research analyst will be members of each project committee. These representatives will circulate minutes and provide regular updates to the Steering Committee to facilitate communication across project teams.

EPI-SET Project Team Meeting – January 22, 2019

  • This call will review the governance document and individual committee membership on January 22, 2019 from 1-2PM.

  • The meeting will also summarize progress to date and upcoming project activities.

Implementation:

ECHO

  • ECHO Implementation Committee to start weekly meetings as of February 2019

  • Committee Members: Sanjeev, Eva, Christine, ECHO Research Coordinator, Clinicians (to be identified by Sarah), Laura Williams and Milena Gosk

  • Weekly planning sessions will determine the structure, curriculum and content of EPI-SET ECHO

  • Christine Mitchell to provide a sample ECHO

  • Need to identify two co-leads for the EPI-SET ECHO. Outlined below are the lead’s qualifications and responsibilities: - Chairing meetings - Ensuring that recommendations are sent out on time - Ensuring that recommendations align with EPI-SET standards - Synthesize information and distribute case presentations - Must be trained in facilitation - Lead would ideally continue their role beyond the duration of the study and act as an ECHO EPI-SET champion moving forward

  • ECHO calls will occur on a monthly basis for the first year. Frequency will increase after the first year to 2 per month as post-training NAVIGATE support calls finish.

EPION

  • To explore discuss EPION’s role for long-term sustainability

Study Initiation

  • Study recruitment will be dictated by site needs and preparedness.

  • Recruitment will vary by site and will take place over a 6-month roll-out window.

  • Sites will require on-going training throughout these initial six months which is provided by the post-training support calls.
