ACTION ITEMS

  • Reach out to new referral to set up research appointment – Abanti

  • Update REDCap Referral link with date of next appointment – Laura completed

  • Review what’s in the protocol & protocol paper and follow inclusion/exclusion for eligibility of referrals – Abanti/Dielle

  • Finalize date & time for SCEI clinician site visit to Durham – Sarah

  • Explore Janet’s old REB with Jen Bertoni for REB for Thunder Bay – Dielle/Laura

  • Add Healthy Debates link on website – Andrea completed

  • Brainstorm ideas for recruitment videos for advisory committees for next SC meeting – Laura/Andrea

  • Send bios & quotes for EPI-SET website to feature advisory committee leads – Augustina/Lillian

  • Obtain dates of admission from each sites clinic admins to figure out when participants have actually started treatment in EPI programs


MINUTES


PATIENT MEASURES

  • Received the first referral from North Bay! We will be contacting them this week about research ensuring North Bay is properly setup with laptop

  • Instead of removing the Client’s first consult/appointment with EPI program, it may be better to rephrase and ask, how long have you been in EPI services

  • Unclear from the question whether their first appointment is a consult or when they actually started treatment

  • Can obtain date of admission from the clinic admin for each site

  • Review what’s in the protocol and protocol paper to line up the inclusion/exclusion criteria; we have to follow what’s written in the protocol for eligibility of referrals

  • In the protocol paper it states that anyone in their first year of receiving NAVIGATE is eligible to participate

  • Folks that start receiving it are relatively new to the program anyway so that 1 year piece covers that


IMPLEMENTATION/ONBOARDING/TRAINING

  • Sarah figuring out which SCEI clinicians can go down and speak to Durham site about NAVIGATE; some have volunteered to go to the other sites as well

  • A few clinicians at sites doing NAVIGATE in a very rigid manner and feeling constrained by the model

  • It’s important that clinicians make the manuals and materials make sense to themselves – they are free to do whatever they want with the manuals, the essential point is that it’s being used

  • We should emphasis that psychoeducation comes first and foremost to mitigate the additional emotion that family have; to send a strong message that education is at the front

  • Instead of trying to tackle bigger pieces like IRT, might be more worthwhile to implement smaller pieces such as family work first so that other groups follow suite


SERVICE MEASURES

  • Have found that 0.5 FTE for this component of the study is being overused; have reviewed the time and support evaluators are putting in the study and finding ways to increase the support that can be provided

  • Thinking of how to be more efficient on time – Sandy and Mary are more acquainted and have now started to split up the implementation specialists

  • This year has been dedicated to learning the model and catching up on operations at individual sites – there is enough exposure to start implementation

  • Had anticipated training to take a lot of time, evaluations not as much

  • Currently a nice solution going forward with REDCap; working with RMS

  • Already started on developing a NAVIGATE practice profile with psychoeducation and modules to measure metrics and performance; this will be valuable to make fidelity assessments using Don’s tool a bit easier

  • Important to see that all these initiatives are transferable resources and can be used for many other projects that are happening here and at sites as well


ADVISORY COMMITTEES

  • To review further items from last FAC meeting at next meeting

  • Research team should not feel responsible to address all concerns brought up at YAC/FAC; these can be brought back to the steering committee to come up with the plan of action

  • Regular PI representation at meetings will allow for updates for the entire advisory groups beyond the lead or RAs

  • Healthy debates was a success all over social media! Augustina did a fantastic job

  • Lots of good conversations happening and interesting points brought up for other youth regarding research


ECHO

  • Discussed the various methods to increase survey response for ECHO

  • To potentially implement first, second and third prize winner for completing the survey

  • First person to complete = first prize winner; $100

  • Second person to complete = second prize winner; $50

  • Third person to complete = third prize winner; $25
