Notes:

  • Site updates

    • Introductions for Jolene, the new site lead in Sudbury. Other site leads who were present offered to answer questions that Jolene has.

    • Sudbury has experienced staff turnovers and redeployments and, due to this, is interested in further support.

    • Niagara has a new OT starting in May. They just had nine referrals over the course of a few days.

    • Thunder Bay has also had a number of new referrals. They still have limitations in connecting with some remote nursing stations due to continuing Covid restrictions.

    • North Bay has just received a new referral. Both clinicians are back in the clinic.

  • Continuation of clinician onboarding and training processes

    • Michael reviewed proposal for quality improvement (QI) analysis of NAV staff onboarding.

      • He informed committee that he presented this proposal at Steering Committee (SC) today, and SC accepted it.

      • Objectives of QI analysis are to help us see what is working well, what could be improved, and understand the needs of recently onboarded staff.

      • Site leads approved the proposal.

      • As next step, Michael and team will ask site leads for names of clinicians who started in the past year.

    • Sarah: Onboarding is a continuous process: important to work with the material, re-direct staff back to resources when they have questions. Important to reinforce their learning.

    • Carol: Has gone back through ECHOs and found them very helpful. Valuable resource to have.

    • Michael and Jeff: PSSP will be helping the Research Team by editing the recordings of ECHO didactic sessions and creating brief descriptions. The sessions will also be re-organized based on topics on EPI-SET.com.

      • Sarah wondered whether it was specific enough to divide just by role.

      • Topic divisions will be reviewed as the process proceeds.

    • Michael: Site leads have indicated that shadowing is a key onboarding method. He wondered if it was possible for NAV clinicians to shadow clinicians in their role at another program in the event that there is not a clinician to shadow in their own program.

      • Some site leads indicated that clinical shadowing/observing does occur across programs. However, the clinician who is shadowing/observing must sign confidentiality agreements and follow any other organizational requirements before doing so.

ACTION ITEMS:

  • Michael to contact site leads for names of clinicians who have started in the past year.

  • Jeff and Michael to meet with Research Team to move forward on upgrading the display of the past ECHO presentation.
